Rental Terms & Conditions

By placing a booking with MEDAN RENT CAR, the renter is deemed to have read, understood and agreed to all of the following terms and conditions.

Booking & payment

  1. Bookings can be made through the website, with or without an account.
  2. The vehicle is held for the payment window shown on the booking page. If payment is not received before that deadline, the booking expires automatically and the vehicle is released to other customers.
  3. A booking is confirmed once payment has been received and the booking status changes to Paid.
  4. The price paid is the price shown at checkout, based on the vehicle, rental duration, driver service and trip type (within the city or out of town).

Renter documents

  1. The renter must present a valid original ID card (KTP) or passport at vehicle handover.
  2. For self-drive rentals, the renter must hold a valid driving licence (SIM A or an international driving permit) and pass verification. Medan Rent Car reserves the right to decline a self-drive rental without giving a reason.
  3. All information provided at booking must be accurate. Incorrect information may be grounds for cancellation.

Rental period & overtime

  1. Rentals are charged per 24 hours from the pick-up time stated on the booking.
  2. Late returns are charged overtime at 10% of the daily rate per hour. Delays of more than 5 hours are charged as one full rental day.
  3. Rental extensions must be confirmed with our team before the rental period ends and are subject to vehicle availability.

Trip type & driver

  1. The driver fee follows the trip type selected at checkout: within the city or out of town.
  2. Travel beyond the area selected at booking must be confirmed with our team and may incur the out-of-town rate difference.
  3. Fuel, tolls, parking and ferry costs are borne by the renter unless otherwise agreed in writing.
  4. Driver working hours follow the rental duration. For overnight out-of-town trips, the driver's meals and accommodation are included in the out-of-town driver fee.

Cancellation & refunds

  1. Cancellation 2 days or more before pick-up: no charge.
  2. Cancellation 1 day before pick-up: a 50% deduction of the amount paid.
  3. Cancellation on the rental day or no-show: no refund.
  4. Cancellation of a paid booking is handled by our team. Refunds are processed to the same account or payment method.

Vehicle condition, insurance & liability

  1. Vehicles are handed over clean and roadworthy. Renters are advised to inspect and photograph the vehicle at handover.
  2. Insurance terms differ for each vehicle and are shown on the vehicle detail page and in the checkout summary. The own-risk deductible per incident is borne by the renter.
  3. Damage, loss or fines resulting from the renter's negligence, traffic violations or use outside these terms are the renter's responsibility.
  4. Vehicles may not be used for unlawful activities, racing, carrying prohibited goods, or sub-let to any other party.
  5. Smoking inside the cabin is not permitted. Violations may incur a cleaning fee.

Other

  1. Medan Rent Car may replace the booked vehicle with an equivalent or higher-class vehicle if the booked vehicle has a technical issue.
  2. These terms and conditions may be updated at any time. The version that applies to a booking is the version accepted at checkout.
